June 2026 · Your data

Your pack is built from reports your systems already produce.

It only reads. Nothing in your ERP changes, and you can switch it off any day.

  1. 1

    Last month's exports, to start.

The standard reports your ERP already produces, sent as files. Later, one read-only login can replace the sending.

  2. 2

    Your approved plan workbook.

So every line is measured against the plan you signed off.

  3. 3

    Your supplier rebate agreements.

So the rebates suppliers owe you can be checked against what they actually paid.

Which report feeds which part of the pack

Works with the ERP you already run, including Epicor Prophet 21, Epicor Eclipse, Infor CloudSuite Distribution (SX.e), DDI System Inform ERP (Advantive), Distribution One ERP-ONE+ (Advantive), Oracle NetSuite, Microsoft Dynamics 365 Business Central, Acumatica, Sage X3 and SAP Business One.

What each report will and will not tell you (12)
Invoice lines
Credit memos come through as negative lines, not netted off, so a month with heavy credits shows them rather than looking quieter.
Open receivables
Each open item names its invoice, which is how what customers owe gets back to the products they bought. Lateness counts days past each item's own due date.
Cash application
Reduces what customers owe until each payment is matched to its invoices. Until then it sits on no product line, because nothing says what it paid for.
Deductions & chargebacks
Amount and age are reliable because they come from the ledger. The reason is only as good as whoever typed it, and the ERP does not record who owns each dispute.
Stock at customer sites
Needs your customer-site usage feed and a location code for each site. Until then, stock figures cover branch stock only.
Supplier rebate agreements
To compare rebates earned with rebates received, we need each program's terms, start and end dates and claim status. Your purchasing manager keeps these today.
Stock valuation
Stock in transit between branches sits with the shipping branch until receipt, so a transfer moving at cut-off is counted on the wrong side for a day.
Stock movement
A product group with stock but no sales in the period shows a dash for margin per $1 of stock, not a zero, because there is nothing to measure.
Open sales orders
Order lines past the date the customer asked for stay open until someone ships, re-dates or closes them. They are shown on their own and left out of what is due to ship.
Approved plan
The plan is set by product line and month, nothing finer. Below that level the screens show no plan rather than spreading the line target across product groups, which would invent a number nobody set.
Customer master
Due dates come from each invoice, so a change to a customer's terms affects new invoices only, never the ones already open.
Product group map
A new item has no product group until someone assigns one. Until then its sales sit on the not-on-a-line row with freight, instead of being hidden inside a line.

Hartlen Industrial Supply Co. does not exist. Its customers, suppliers, branches and sales reps are invented, and so is its ledger, because a real one cannot be published. The checks are real: every split adds back to the total to the cent, or the page is not built.

It connects to a copy or a reporting view of your ERP, never the live system, and it never posts, changes a status or edits master data. Your IT team grants one read-only login to the reports above, the pull runs overnight, and if it is switched off tomorrow your ERP is exactly as it was. The figures are checked against your trial balance.

Your month, built like this

Send me last month's pack. Get it back automated.

Send the exports your system already produces and the pack your team built from them. You get an automated version with the same numbers, tying to the cent, and you check it against your own before you commit to anything.
